General
Sharada is an Institution Management Platform built for Indian schools, colleges and coaching centres. It covers student records, fee collection, attendance, staff payroll, exams, library, timetable and WhatsApp parent communication — all in one place, from one login.
No. Sharada works for three institution types:
  • Schools (K–12) — CBSE, ICSE, State boards
  • Colleges & Higher-Ed — degree, junior, professional colleges
  • Coaching & Institutes — coaching centres, tuition academies, test-prep institutes
You pick your type during sign-up and Sharada configures itself accordingly.
A few key differences:
  • WhatsApp-first — parent alerts and fee reminders go over WhatsApp, not just email
  • Indian payroll built-in — PF, PT, TDS, salary slips, Form 16 data included; competitors charge extra
  • AI attendance marking — type "Priya absent, Rohan late" and Sharada parses it
  • Price — up to 75% cheaper than Entab, Fedena, and similar platforms
  • No per-student charges — flat per-institute pricing
Sharada uses flat per-institute pricing — no per-student tax:
  • Starter — ₹600/mo · Up to 200 students · Fees, attendance, timetable, library, WhatsApp
  • Growth — ₹1,200/mo · Up to 500 students · Everything in Starter + Payroll, Exams, AI marking
  • Pro / Enterprise — ₹2,000/mo+ · 1,000+ students · Everything in Growth + multi-branch, white-label, dedicated support
All plans include free guided setup. GST extra.
Yes — every plan starts with a 30-day free trial. No credit card required. You can also book a free demo and we'll import sample data from your institution and show you a live dashboard before you decide.
Yes. The entire platform is mobile-optimised and works on any browser — Android or iPhone. No separate app download is required. Just open sharada.online in your phone's browser and log in. An Android app is also available on the Google Play Store for schools that need offline access — useful where internet connectivity is unreliable.
That bar means your device has gone offline or is temporarily unable to reach the server. Any attendance you mark while this bar is visible is saved on your device and will be sent to the server automatically the moment your connection comes back — you don't need to do anything. The bar shows a number (e.g. "3 pending") to indicate how many records are waiting to sync. It disappears on its own once all records are sent. No data is lost.
Yes — your school's data is completely private and protected. It is stored on enterprise-grade servers based in India-accessible data centres, encrypted at all times, and accessible only by your authorised staff. We do not sell, share, or use your data for any purpose other than running your school's platform. Read our full Privacy Policy →
Getting Started
Click Get started on the homepage. You'll be asked for your institution name, type, and a Sharada URL (e.g. dps-delhi.sharada.online). Then create your admin account with email/password or Google. The whole process takes under 2 minutes.
Follow these steps in order for a smooth setup:
  1. School Settings — add your institution details, address and academic year
  2. Classes & Sections — create all your classes before adding students
  3. Staff — add teaching and support staff
  4. Students — enrol students (individually or via CSV bulk import)
  5. Fee Structures — define your fee types and amounts
  6. Everything else — attendance, exams, payroll, library, communication
Yes. Go to Students → Import Students and upload a CSV or Excel file. Sharada accepts up to 500 rows per import. A downloadable Excel template with sample data and instructions is available on that page. Required columns are: GR number, first name, last name, gender, class, and section.
Yes. Go to Staff → Import Staff and upload your file. Download the Excel template from that page — it includes sample rows and an instructions sheet. Only the staff member's first name is required; everything else is optional.
For a typical school of 300–500 students, complete onboarding (importing students, staff, setting up classes, fee structures and first attendance) takes under one week. If you book a demo, our team will do the initial import for you at no charge.

The invite flow is a two-step process — staff must be enrolled first, then given a login account.

  1. Go to Staff → Add Staff and make sure the staff member's record exists with their email address filled in.
  2. Go to Portal Accounts (under Platform in the dashboard).
  3. Find the staff member in the list — their status will show "No Account".
  4. Click "Send Invite". A branded email is sent instantly with a link to set their password.
  5. Their status changes to "Pending Invite" while they set up.
  6. Once they click the link and create a password, their status becomes "Active" — they can now log in.

What the status badges mean:

  • No Account — staff record exists, no login created yet. Click "Send Invite".
  • Pending Invite — invite email sent, staff has not set their password yet. Click "Resend Invite" if they didn't receive it.
  • Active — staff has set their password and can log in.

If the staff member says they didn't get the email: verify the email address is correct in their Staff profile, then click "Resend Invite". The new link is valid for 24 hours. The previous link is automatically invalidated.

Your school administrator has set up a Sharada account for you. Here is what to do, step by step:

  1. Open the invitation email from [email protected] (check your Spam/Junk folder if you don't see it in your inbox).
  2. Click the "Set Password & Sign In →" button. This link is valid for 24 hours.
  3. You'll be taken to a Create Your Password page. Choose a strong password and click "Set Password".
  4. You are automatically signed in and taken to your school's dashboard.
  5. Bookmark the login page: sharada.online/src/login.html
  6. Next time, log in using the same email address the invitation was sent to, plus the password you just created.

The invite link expired or didn't work? Ask your school admin to go to Portal Accounts and click "Resend Invite" next to your name. They'll send a fresh link valid for another 24 hours.

Forgot your password later? Go to the login page and click "Forgot password?" — a reset link will be sent to your email.

Students
Go to Student Behaviour, select the Class, Section, and Student, choose Positive or Corrective, write a short note, and save. It appears in that student's history immediately. Teachers, admins, and principals can all log entries.
Admins and principals see every entry for every student. Teachers only see the entries they personally logged — not what another teacher wrote. This is an internal staff tool; behaviour notes are not currently visible to parents in the portal.
Go to Parent-Teacher Meetings, select the Class, Section, and Student, then fill in the meeting date, who attended, and what was discussed. If something needs following up, describe it and mark the status Open. Any teacher or admin can log a meeting.
No — a student's PTM history is complete from their first year at the school right through to today, regardless of which class they're promoted into. Each meeting shows the class they were in at the time, so you can see the full picture across every year, not just the current one.
Go to Students → Add Student. Fill in the required fields (GR number, name, gender, class, section) and any optional details like parent contact, Aadhaar number, blood group, or religion. Click Save — the student is immediately searchable.
GR stands for General Register number — a unique identifier assigned to each student by your school. It is used across Sharada for fees, attendance, and exams. You define the format yourself (e.g. GR1001, 2024-001). It must be unique within your school.
Both .xlsx (Excel) and .csv files are supported. Download the official template from the Import Students page — it has sample data, a hints row, and a full Instructions sheet. Maximum 500 rows per import; split larger files into batches.
Yes. Open the student's profile and click the photo icon. Photos cannot be imported in bulk via CSV — they must be uploaded individually through the Edit Student page. Supported formats: JPG, PNG.
Sharada detects duplicates by GR number. If a student's GR number already exists in the system, that row is skipped — not overwritten. You'll see it listed in the "Skipped" section of the import results. To update an existing student's details, use the Edit Student form.
Yes. Open the student's profile, click Edit, and change the class and section fields. The student's attendance and fee history from the previous class is retained.
Yes — go to Reports → Student 360. Pick a class, section, and student to see attendance rate, the latest exam result, current-year fee status, full exam history, and staff remarks/notes all on one screen. Click Print for a paper copy to hand to a parent. Fee figures are only shown to admin, principal, and accountant roles; teachers see everything else.
Fees
Go to Fee Management → Fee Structures. Create a fee type (e.g. Tuition, Exam Fee, Transport) and set the amount. You can apply it to specific classes or all classes. Once created, fees can be assigned and collected per student.
Sharada supports Cash, Cheque, Bank Transfer, and Online UPI. For online payments, Sharada integrates with Razorpay — parents can pay via UPI, PhonePe, GPay, Visa, Mastercard, or RuPay. Money goes directly to the school's bank account; Sharada does not handle any funds.
There are two ways: (1) Payment Modal — staff opens the payment screen and clicks "Open Payment Modal". Razorpay opens in the browser, parent pays via UPI/card, and the fee is marked paid instantly. (2) WhatsApp Payment Link — staff generates a secure Razorpay link and shares it on WhatsApp. The parent opens the link on their phone and pays. Both methods use your school's own Razorpay account — money goes directly to your bank, not through Sharada.
Yes. Go to Payments → Create Invoice. Pick the student, enter the fee description, amount, and due date, then click "Create Invoice". This works for anything not already set up as a fee structure — a one-off charge, an event fee, and so on. Once created, click "Generate Payment Link" for a real online payment link, then "Send via WhatsApp" to message the parent the amount due, due date, payment link, and a link to view/download the invoice as a PDF. Sending counts against your school's monthly WhatsApp quota.
Create a free account at razorpay.com, complete KYC with your school's bank details, then go to School Settings → Banking → Online Payment Gateway in Sharada and enter your Razorpay Key ID and Key Secret. Sharada verifies the credentials instantly. The 2% Razorpay fee is deducted from each transaction — there is no monthly charge.
Yes. Every payment generates a receipt you can print or download. If your school has a GSTIN, the document is issued as a Tax Invoice with HSN/SAC code 9992. Schools without a GSTIN receive a standard Payment Receipt with an automatic GST exemption note (educational services are exempt under Notification 12/2017-CT(R) Entry 66). Add your GSTIN in School Settings → Banking.
Yes. Use the Collect All Pending button on the Fee Collection page to process payments for multiple students in a batch. You can filter by class, section, or fee status before collecting.
Yes. Go to Procurement on the dashboard. Add each supplier once under Vendors (name, category, GSTIN if they have one), then use Record Invoice to log what they billed you — no Purchase Order step needed, it records the invoice directly the way most schools already work. Mark it paid as you settle it, and view everything together — spend by category, top vendors, GST paid, and what's still outstanding — under Expense Report. This is your own bookkeeping only: Sharada.online never moves money to a vendor.
Yes. On Fee Structures, click the scales (⚖️) icon next to any fee to open its Exceptions panel. Choose who it applies to (one student, one section, or the whole class), the discount type (a percentage, a fixed amount, or a full waiver), and a reason — every exception requires one, and it shows in the audit trail. Reports update immediately: the student's "Expected" amount reflects the discount, not just what's still pending. A discount can never exceed the fee itself — percentage is capped at 100%, and a fixed amount is capped at that fee's full yearly value.
Sibling discounts are a deliberate, opt-in setting — nothing applies automatically until a school switches it on, so a discount is never given without someone at the school having explicitly decided to give it. Talk to Sharada support to have sibling-discount rules (by 2nd, 3rd, or 4th+ child) set up for your school.
Yes. On the Fee collection page, select students with outstanding fees and click Send Reminder. Sharada sends a WhatsApp message to the parent's registered phone number with the outstanding amount and a UPI payment link.
After collecting a fee, click View Receipt. The receipt opens as a PDF in a new tab — you can print it or share the link. A WhatsApp copy is also automatically sent to the parent's phone number when the fee is collected.
Attendance
Go to Attendance and select the class, section, and date. A grid shows all students — click to toggle Present / Absent / Late. Hit Save. You can also use AI / NLP mode: type something like "Priya absent, Rohan late, everyone else present" and Sharada will parse it automatically.
NLP mode lets you type attendance in plain English instead of clicking each student one by one. Switch to AI / NLP mode and try phrases like:
  • "All present except Rahul and Priya"
  • "Absent: Amit Kumar, Sneha Patel, roll 12"
  • "Roll 3, 7, 9 absent, everyone else present"
Sharada fills the grid for you instantly. On Chrome (desktop or Android), you can also tap the microphone button and speak the roll call — no typing needed at all. Everything is processed on your device, so it works even without a good internet connection and no student data is sent to any external service.
Yes. Go to Attendance → Import Historical Attendance (Admins/Principals only) and select a class and date range. Download the ready-made spreadsheet template — it's pre-filled with your real students and one column per working day — fill in each day's status (P/A/L/HD/E), then upload it. You'll see a preview of the day-by-day tally and any issues before anything is saved. This is designed for onboarding a school mid-year, when you have months of paper attendance registers to bring in at once. It's safe to re-run the same file — it only updates what changed, never creates duplicates.
Any role that can mark attendance can now correct a past date — not just Admins/Principals. Select the date, enter a short reason, and save. Every correction is recorded with who made it, when, and why, so there's a full history even though the restriction has been lifted.
Yes. Sharada can automatically send a WhatsApp message to the parent's registered number when a student is marked absent. This is controlled by the Notification Settings — you can toggle it on/off and set the timing.
Go to Attendance → Reports. There are three tabs:
  • Daily — attendance summary for any date, by class
  • Student — individual student's attendance percentage and history
  • Class trends — class-level attendance over time, with anomaly flags
Yes. Go to Attendance → Staff Attendance. You can enter daily in-time and out-time for each staff member — or use the same AI / NLP text entry as student attendance. For example, type "All present except Meena Ma'am and Rajesh Sir" and the grid fills in automatically. Voice input (mic button) works here too on Chrome and Android. If today is a declared school holiday, the page tells you — no attendance needed. Staff attendance feeds into the payroll calculation for monthly salary.
Staff & Payroll
Go to Staff Feedback, pick the teacher, choose a category — Observation, Commendation, or Concern — write a note, and save. It's visible to that teacher immediately, with no draft or approval step. Only admins and principals can write feedback; teachers can only read their own.
No. Each teacher only ever sees their own feedback history — this is enforced on the server, not just hidden in the interface. Admins and principals can see and write feedback for any teacher.
Go to Staff & Teachers → Add Staff. Fill in the name, designation, department, and employee type (teaching / non-teaching / admin). You can also bulk-import staff via Excel or CSV using the Import Staff page.
Yes. The Payroll module handles:
  • PF — Provident Fund (12% employee + 12% employer by default)
  • PT — Professional Tax (state-wise slabs)
  • TDS — Tax Deducted at Source (based on declared investments)
  • NPS — National Pension System contributions
Staff can also declare 80C investments from their login. Form 16 data is available at year-end.
Go to Payroll → Run Payroll. Select the month, review the calculated amounts (Sharada automatically factors in leaves, advances, and deductions), and click Approve. Salary slips are generated instantly and can be emailed to each staff member.
Yes. All staff — including Teachers and Clerks — can apply for leave from the My Leave card on the dashboard. Each person sees their own leave balance, pending applications, and history. Principals and Admins see the full approval queue and can approve or reject. Leave balances (casual, medical, earned) are tracked and deducted automatically from payroll when applicable.
Sharada counts only actual working days as leave, following standard payroll practice. Any declared holidays (from your School Calendar) and weekly-offs (Sundays — and Saturdays depending on your school's week pattern) that fall inside a leave are not counted as leave. They are paid non-working days, so they never reduce the leave balance and never cause a salary cut.

Example: a teacher takes leave Friday to Monday, with Saturday & Sunday as weekly-offs. Sharada debits only 2 days (Friday + Monday), not 4. If a national holiday also fell on the Friday, only Monday — 1 day — would be debited.

And as long as the staff member has enough paid-leave balance, no salary is deducted. Only days taken beyond the available balance (or unpaid leave types) become Loss of Pay in that month's payroll.

Optional "sandwich" rule: if your school enforces it, you can turn it on under School Settings → Leave Policy. With it enabled, holidays and weekly-offs that fall between two leave days are counted as leave (so the Friday-to-Monday example counts as 4 days). It is off by default.
A salary advance is a pre-payment against a staff member's future salary. Go to Payroll → Salary Advances, record the advance amount, and set the recovery installment. Sharada automatically deducts the installment from subsequent monthly payroll runs until the advance is fully recovered.
After running payroll for a month, go to Payroll → Salary Slip. Select the staff member and month — a formatted salary slip is generated as a PDF. You can print it or share it directly. Slips include all earnings, deductions (PF, PT, TDS), and net pay.

Teachers and Clerks can view their own salary slip from the My Payroll card on the dashboard — they select the month and year and the slip is shown automatically.

Automatic email: When payroll is approved each month, Sharada automatically emails each staff member their salary slip — no manual step needed. The email shows a full breakdown of earnings, deductions, and net pay.
Yes, both are available now.

Custom salary components: under Salary Setup, open a staff member's structure and use Custom Components — add a new earning or deduction (e.g. Transport Allowance) once to your school's library, then set the amount for each staff member who should get it. It appears alongside their usual salary from the next payroll run.

Leave encashment: under Leaves → Leave Balance, click Encash next to a staff member's paid leave balance. Enter the number of days and the payroll month it should apply to — Sharada calculates the amount as (Basic + DA) ÷ 26 per day and adds it as a one-time earning on that month's payroll.
Exams & Grades
Go to Question Papers, select the Class, the Exam, and the Subject (an exam event covers every subject, so Subject is what scopes this to a single paper), give it a title, then either upload a file (PDF, image, or Word document, up to 15 MB) or type the paper directly. There's no approval step — it's saved and visible to every teacher and admin immediately, so papers can be reviewed and reused.
Go to Exams → Create Exam. Name the exam (e.g. Mid-Term 1), select the class and subjects, set the date and maximum marks. Sharada checks for timetable conflicts automatically. Once created, teachers can start entering grades.
Sharada includes CBSE grading automatically. When you enter marks, the system converts them to grades (A1, A2, B1…) and grade points based on the official CBSE scale. It also calculates the Cumulative Grade Point Average (CGPA) across subjects.
Yes. Go to Exams → Result Card. Select the exam and class — Sharada generates individual report cards for each student in board-format layout. You can print them or download as PDF. Result cards include marks, grades, and attendance percentage.
Go to Exams → Enter Grades. Select the exam and subject — a grid shows all students with input fields. Tab through the fields to enter marks quickly. You can also import marks via CSV if you have them in a spreadsheet.
Yes. After entering and saving grades, click the "Send Results to Parents" button in the Grade Entry page (visible to Admin and Principal only). Before anything is sent, Sharada shows exactly how many students are complete, partial, or ungraded — if any are incomplete, you must explicitly confirm you still want to proceed. Sharada then emails every parent whose child is in that class, each email showing the child's marks, grade, percentage, and class rank for every subject; parents without a registered email are skipped and counted in the summary. If results for that exam were already sent, Sharada tells you when and requires a separate explicit confirmation before it will resend, so a second click can't accidentally email every parent twice.
Go to Exams → Analytics. You'll see:
  • Class topper and rank list
  • Subject-wise average and pass percentage
  • Student performance trend across exams
  • Students at risk of failing (below passing threshold)
Go to Exams → Interventions. Every time marks are entered, Sharada automatically checks each student's average in that subject against your school's performance bands (Needs Support, Satisfactory, Proficient, Advanced Learner) and flags anyone who needs support — no manual tagging required. The Interventions page shows exactly which flagged students don't yet have a remedial plan, so nobody falls through the cracks. Start a remedial batch, enroll the flagged students, log each session, and once they're re-tested, Sharada records whether the extra help actually worked.
Yes. Go to Reports → Intervention Effectiveness. Once a remedial or enrichment program is marked complete, this report shows the average score before and after for every student in that program, whether the group improved on average, and how many students moved up versus fell back — real proof of impact, not just attendance in a spreadsheet.
Yes. Go to Exams → Performance Bands (Admin and Principal only). Four bands come pre-set — Needs Support (below 40%), Satisfactory, Proficient, and Advanced Learner (80% and above) — and you can rename any of them or adjust the percentage ranges to match how your school already talks about student performance. Changes apply to all new grade entries going forward.
Homework Diary
Teachers, admins, and principals can assign homework. Go to Homework → + New Homework, pick the class and subject, enter a title and due date, and save. Teachers see only the homework they created; admins and principals see all of it.
Access follows clear roles, enforced at three layers (which pages open, which dashboard tiles show, and a final check on the server). Teacher scope is by authorship — a teacher manages only the homework they created, not everything for a class they teach.

Everything is locked to your own institution — no school can ever see another school's homework. (Sharada support staff hold a platform-level role used only for troubleshooting.)
Yes. The moment you save, every parent of that class receives a WhatsApp message with the subject, title, due date, and a link to view it in the parent portal — no app to install. Parents who have turned off WhatsApp updates, or who have no number on file, are skipped.
In the parent portal under the Homework tab. Each assignment is colour-coded — Pending, Overdue, Done, or Not Done — and grouped so parents see what needs attention first. If the teacher attached a worksheet, parents can download it there.
Yes. On the homework form you can attach a file — a PDF, image, or Word, Excel or PowerPoint document (up to 20 MB) — and parents can download it from the portal. For videos, paste a link (YouTube or Google Drive) in the Video / media link field; videos are shared as a link rather than uploaded, so they stay quick to open on mobile data. When editing, choose a new file only if you want to replace the existing one.
Yes. In the parent portal under Homework, a parent taps Submit work on an assignment, attaches a photo or PDF of the finished work (up to 5 MB) and can add a short note. The teacher then sees a View proof button next to that student on the marking screen and can open it before marking. Parents can re-submit if needed, and can re-open their own upload any time.
Open the homework and click Mark. Tap "Mark all as Done" to set the whole class, then change the few students who didn't — Not Done, Late, or Exempt. Optionally add a quality rating (Excellent / Good / Needs work) for students who submitted. One tap to save. Marking a class of 40 takes under two minutes.
Mark a student Exempt when they shouldn't be expected to submit — for example, if they were on approved leave. Exempt students are left out of the completion percentage, so one absence doesn't drag down the class figure.
Yes. Open Homework, find the assignment and click Edit. You can update the title, description, subject, dates and estimated time — even after marking has started, because your marks aren't affected. The class and section stay fixed, since they decide who received it. Parents are not re-notified on WhatsApp when you edit, so small corrections won't disturb them. Teachers can edit only their own homework; admins and principals can edit any.
Yes. Click Cancel on the assignment. It immediately disappears from the parent portal, but nothing is deleted — the record and all marks stay in your history, and you can still see it using the "Cancelled" filter. (To fix a mistake without cancelling, use Edit instead.)
Admins and principals get a Reports view showing:
  • Today's assignments and completion rate
  • Weekly completion trend over 8 weeks
  • Completion by subject and by teacher (to balance homework load)
  • Students to follow up (below 60% completion) and at-risk students (3+ missed in a row in one subject)
  • Class engagement — which classes' parents are actually viewing and downloading homework
Lesson Plans
Teachers, admins, and principals can create weekly lesson plans. Go to Lesson Plans, pick a class, section, and subject, then fill in a topic for each day of the week. Save it as a draft, or publish it so parents and students can see it in the portal. Teachers can only edit their own plans; admins and principals can view and edit any teacher's plan.
A draft is visible only to the teacher who wrote it and to school admins — parents and students never see it. Publishing makes that week's plan visible in the parent/student portal immediately. There's no approval step in between.
No — the Monthly View tab automatically rolls up whichever weekly plans you've already entered for that month into one table. There's nothing extra to fill in for the month; it's a summary view, not a separate form.
In the parent portal, under the Lesson Plans tab (from a child's Dashboard card, or the module nav on any child page). Only published plans appear — drafts stay private to the teacher and school admins.
Once a day's date has passed, small Covered, Partial, and Not Covered buttons appear under that day's topic. Tap one to mark it — it saves immediately, no separate save step. You can only mark coverage for a day that has already happened and already has a topic filled in.
They're pulled automatically from your school's real timetable — the actual period length(s) scheduled for that class, subject, and day. Nothing to type in, and it can't be edited by hand, so the number always matches what's really on the timetable.
Yes. Admins, principals, and platform admins see a Coverage Report tab on the Lesson Plans page — every teacher × subject × class for the selected month, with a covered percentage, how many days were not covered, and how many are still pending (past days nobody has marked yet). This is meant to make it easy to see at a glance who's on track and who needs a follow-up conversation.
Yes. On Friday, Saturday, and Sunday, a teacher with any unmarked days from that week's lesson plans sees a reminder banner at the top of the page. WhatsApp reminders are planned for later — for now this is an in-app notice.
Communication
Go to Communication → Compose. Choose your audience (all parents, a specific class, or individual parents), select a message template or write your own, preview the message, and hit Send. Sharada routes it through the WhatsApp Business API.
Sharada comes with 20 pre-loaded templates for common scenarios — fee reminder, attendance alert, exam schedule, result announcement, holiday notice, event invite, and more. Templates support dynamic variables like student name, amount due, and date that are filled in automatically per recipient.
Yes. Go to Communication → Notification Settings. You can configure 18 automated notification schedules — for example, send a fee reminder on the 5th of every month, or an absence alert every evening for students marked absent that day. Toggle each schedule on or off independently.
Go to Communication → Message History. Every sent message is logged with the recipient, message content, channel (WhatsApp/SMS/email), timestamp, and delivery status (sent / delivered / failed). Filter by date, type, or status.
Yes. Sharada uses an opt-in model for WhatsApp. Parents who reply STOP to any message are automatically opted out and will not receive further automated messages. You can see opt-out status in the student's parent contact section.
The ticker bar is a slim colour-coded strip that appears just below the header on every page after you log in. It cycles through active announcements and live system reminders relevant to your role — so you always see the most important things at a glance without searching for them.

Colour coding:
  • Blue — informational notice (low urgency)
  • Amber — something needs attention soon
  • Red — urgent, requires immediate action

You can dismiss a custom announcement for the session by clicking ✕ on the ticker. System reminders (like overdue fees or unmarked attendance) cannot be dismissed from the ticker — they disappear automatically once the underlying issue is resolved, or an Admin can turn them off from the Announcements page.
Each person sees only the alerts relevant to their role. Custom announcements can be targeted to specific roles or sent to all staff. System reminders are automatic based on live school data.

Go to Dashboard → Announcements (visible to Admin and Principal only).

To post a custom announcement: Fill in your message (up to 200 characters), choose the urgency level (Info / Warning / Urgent), set an optional expiry date, and select which roles should see it — or leave all unchecked to show it to everyone. Click Post Announcement. It appears in the ticker bar immediately.

To temporarily hide a custom announcement: Use the ON/OFF toggle on the announcement row. You can turn it back on at any time.

To turn off a system reminder: In the System Reminders section at the top of the Announcements page, flip the toggle for the reminder you want to suppress. This affects all staff in your school — the reminder will not appear in anyone's ticker until you turn it back on.

Custom announcements that are no longer needed can be permanently removed using the Remove button.

Teachers and Clerks viewing their own salary slip or tax declarations can only see their own record — they cannot look up other staff members. Attempting to access a restricted page shows an "Access Restricted" screen with no data exposed. Roles can be updated by the Admin from Manage Accounts.
We take several steps to keep your data protected at all times:

🔒 Your data is always encrypted
All information — student records, staff details, fee history, attendance — is locked with industry-standard encryption. When data travels between your browser and our servers, it goes through a secure encrypted connection (the same technology used by banks). When it's sitting on our servers, it's encrypted there too.

🏠 Your school's data is completely separate from others
Sharada works like a set of private rooms — each school has its own space. A teacher or admin from one school can never see another school's students, fees, or records. This is enforced at the database level, not just the screen level.

🛡️ Multiple layers of protection
We use Cloudflare — the same security provider used by millions of websites globally — to block harmful traffic and attacks before they even reach our servers. We also use CAPTCHA to prevent automated bots from attempting to break in.

⏱️ Auto-logout for shared computers
If someone leaves Sharada open on a shared device and walks away, the system automatically logs them out after 20 minutes of inactivity — so no one else can walk up and see student data.

👤 Staff see only what they're allowed to
A Teacher cannot see payroll. A Clerk cannot see full reports. An Accountant cannot see exam grades. Every role has a precisely defined set of access rights — it's not just a visual restriction, it's enforced on the server.
Your data belongs to your institution — not to us. Here is who can access it:
  • Your authorised staff only — only people you have invited and assigned a role can log in and see your school's data
  • Sharada support team — only when you raise a support ticket and explicitly ask for our help. We do not browse customer data for any other purpose.
  • No third parties — we do not sell, rent, share, or hand over your data to advertisers, government agencies, or any external party, except as required by Indian law
We do not use your students' names, photos, or records for AI training, marketing, or any purpose other than running your school's platform.
Yes. Photos and files uploaded to Sharada (student photos, staff photos) are stored in a private, locked storage area — they cannot be accessed by anyone without a valid login. There are no public links to photos. Every time a photo is displayed on screen, a temporary access link is created that expires within 1 hour.

Think of it like a school filing cabinet that is kept in a locked room. The room is locked, the cabinet is locked, and even if someone got into the building, they would need both keys to see anything. The photos are also encrypted on the storage servers themselves.
Yes. Sharada is designed with compliance in mind for the Indian regulatory environment:
  • India's Digital Personal Data Protection (DPDP) Act 2023 — we collect only the data needed to run your school's platform and do not use it for any other purpose. Our Privacy Policy explains what we collect and why.
  • Data stored securely — all data is encrypted at rest and in transit, meeting the technical safeguards expected under the DPDP Act
  • No children's data shared — student data (including photos and personal details) is never shared with third parties or used for profiling
  • Right to delete — if your institution leaves Sharada, we will permanently delete all your data on request
For schools that need formal documentation for their management or trust, you can contact us at [email protected] to request a Data Processing Agreement.
The Activity Log is a behind-the-scenes record of important actions taken inside your school's account — for example, a fee being collected, a student record being updated, a leave request being approved, or a payroll run being completed. It records who did it, what they did, and when.

Who can see it: Only Admin and Principal roles can view the Activity Log (under the Platform menu). Teachers, Accountants, and Clerks cannot access it — including their own entries. This is intentional: the log is a management and audit tool, not a staff monitoring feed visible to staff.

What it is used for:
  • Investigating discrepancies — e.g. who deleted a student record or collected a fee
  • Compliance audit trail — required evidence if your school faces an inspection or regulatory query
  • Internal accountability — helps management understand platform usage without needing to ask individuals
The log can be filtered by module (Fees, Payroll, Students, etc.) and exported to CSV.
Different types of data are handled differently:

Your school's records (students, fees, attendance, payroll, etc.) — kept for as long as your account is active. If you close your account, we will permanently delete all your data on request within 30 days.

Activity Log entries — kept for 2 years by default, then automatically deleted. This matches the retention window recommended for operational audit trails under India's DPDP Act 2023. If your school has a shorter or longer requirement, an Admin can change this under School Settings → Activity Log Retention (options: 1 year, 2 years, 3 years). Deletion happens automatically on the 1st of each month — no manual action needed.

Login security events (failed login attempts) — kept for 90 days, then deleted automatically. These are used only to detect suspicious access patterns.

We do not retain any personal data beyond its stated purpose or retention window. This is a core commitment under our DPDP Act compliance posture.
No. The Continue with Google button only works with Gmail addresses (ending in @gmail.com) or Google Workspace school email accounts managed by Google. If your school email ends in something like @school.edu.in but is not on Google Workspace, you will need to use the email and password option instead. If you are unsure, try signing in with Google first — if it fails, use the email/password route.
Yes. Both email/password and Google OAuth login are supported. During sign-up, if you choose Google, your institution details are saved and linked after Google redirects back. Note: you must complete institution registration before you can log in — simply having a Google account is not enough. Also, the Google option requires a Gmail or Google Workspace account — see the question above.
On the login screen, click Forgot? next to the password field. Enter your email address and we'll send a password reset link. The link expires in 60 minutes. If you signed up with Google, you don't need a password — just use Continue with Google.
Sharada has a 20-minute idle timeout for security. If you don't interact with the platform for 20 minutes, a countdown warning appears. If you don't respond, you're logged out automatically. This protects your data if you leave the platform open on a shared device.
Yes. Sharada is a multi-user platform. Any number of staff can be logged in at the same time. Each person sees only what their role permits. Changes made by one user are visible to others in real-time.

Parent Portal
The Parent Portal is a secure login area for parents and guardians. Once the school sets up your access and sends you an invite link, you can log in to see your child's fee balance, attendance record, exam results, and communicate directly with the school — all from your phone or computer.
The school sends you a one-click magic link by email when they set up your portal access. Clicking that link logs you in automatically — no password needed. Bookmarking the portal page after your first login makes it easy to return. If you have not received an invite link, contact your school office and ask them to send you a portal invite.
Check your spam or junk folder first — the email comes from [email protected]. If it's not there either, contact your school office and ask them to resend the invite. Make sure the school has your correct email address on file.
Yes. If the school has both parents' details on file, each parent gets their own separate invite link and login — both can see the same child's information independently, using their own email.
Once logged in, you can see:
  • Fee balance — outstanding amount, payment history, and downloadable receipts
  • Attendance — day-by-day record for the current month and overall percentage
  • Exam results — subject-wise marks and grades for completed exams; printable mark card
  • My Queries — all questions you have sent to the school and the school's replies
  • My Account — your personal details and data privacy options
Log in to the Parent Portal and click Contact School (or go to the "Raise a Query" page). Choose a category (attendance, fees, academic, etc.), write your subject and message, and click "Send query". The school receives your message and can reply from their admin dashboard. You'll receive the reply by email and can also read it in the My Queries section of the portal.
Go to My Queries in the parent portal — it shows all your questions, their current status (Open / Replied / Closed), and the school's full reply in a green box when they respond. You will also receive an email notification the moment the school sends a reply. Queries stay visible even after they are closed, so you have a permanent record.
Yes. If you have more than one child enrolled at the same school, the portal dashboard shows cards for each child. Click a child's card to see their specific fee, attendance, or result details. The My Queries page shows queries you have raised for all your children in one list.
Yes. The portal follows India's Digital Personal Data Protection Act 2023 (DPDP). Your data is stored securely in India, you consent explicitly before viewing any information, and you can download all your data or request deletion at any time from the My Account page. The school can only deactivate your access, not view your login history.
Log in to the Parent Portal and tap Textbooks on your child's card (or go to the Textbooks tab in the navigation). The page automatically shows the prescribed books for your child's class and school board. Tap Open PDF to read or download any NCERT/CBSE book directly — it opens in a new browser tab so you stay logged in. For state board schools, a link to the official board website is shown.

The Textbooks section is available to everyone who has a login — but it is not publicly accessible. Here is who can see what:

Who Access What they see
Parents (Parent Portal login)✅ YesTheir child's class books, filtered to the school's board
Teachers / Admins / Principals (school login)✅ YesFull catalog for the school's board — useful for lesson planning
Students⬜ Not yetWill be added when the student portal is built
General public (no login)❌ NoLogin required — not visible to anyone without an account
Go to Portal Settings from the main dashboard. Enable the portal using the toggle at the top. You can then:
  • Invite individual parents by clicking Invite next to their name
  • Bulk-invite all uninvited parents in a class using Invite Uninvited in Class
  • Deactivate access for parents of students who have left
  • Copy the portal link and share it directly via WhatsApp
Parents receive a magic link by email. Once they click it, their access is active.
